Below are some top-rated apps and programs available to help you manage your business’s financial situation.
Mint
Though it’s intended mainly for individual users, this financial tracking app is effective for businesses too. Aside from tracking bills and cash flow, Mint also has Quicken MyBusiness, a tool for small businesses that helps categorize expenses, and gives you up-front information for tax filing.
QuickBooks
With the ability to connect to your bank account, PayPal, Square, credit cards, and more, you can use QuickBooks to track sales and expenses, view financial statements, pay employees and vendors, track unpaid invoices, maximize tax deductions, and more. With QuickBooks Online, you can access QuickBooks on both iOS and Android phones and tablets.
FreshBooks
For businesses and freelancers alike, cloud-based FreshBooks helps you create personalized invoices, with an option to automatically bill clients for recurring invoices, and generate customizable business reports, such as profit and loss statements. You can also automate tasks like organizing expenses and receipts, tracking your time, and following up with clients.
Wave
Created for businesses with nine or fewer employees, Wave is an accounting software platform that has the ability to track sales and expenses; manage invoices, customer payments, and payroll; scan receipts; and generate accounting reports. With Wave’s free apps for iOS and Android, you can send invoices on the go, and get notified when an invoice is viewed, becomes due, or gets paid. Also available through the platform is a free personal finance software to help small-business owners manage their finances in one place.
Truebill
Once you connect your accounts to the Truebill app, it will generate a report of where your money is going, categorizing and charting subscriptions and expenses. An added bonus with Truebill is a feature that compares your bills and subscriptions to average service levels, and with your initiation, will call providers and negotiate on your behalf.
Xero
Intended for small and mid-sized businesses, this accounting app (accessible by both desktop and mobile platforms) can handle payments and expenses, asset management, bank account reconciliation, invoicing and purchase orders, sales tax calculations, and multi-currency accounting.
PlanGuru
If you’re looking for a forecasting program to help with strategic planning and analysis, PlanGuru might be a good fit. It’s pricey, with business plans starting at $99 per month, but with an analytics dashboard, Excel add-on, a budget and forecasting platform, and training, it might be worth the cost to keep business spending in check.
Expensify
This simple expense tracker uses multiple platforms to keep tabs on expenses and mileage by reading and importing expenses from linked bank accounts and credit cards. And with the ability to scan and upload receipts, expenses can easily be submitted to employers.
InDinero
This bookkeeping service halts the need to invest in big bookkeepers and implements tax services for small businesses. It also helps with forecasting by syncing with bank accounts and credit cards to predict future cash flow determined by current trends and previous expenses.

When choosing whether to invest in a desktop or online QuickBooks product, we would suggest you evaluate three differences in the products.
1. Accessibility
If you want the option to access your QuickBooks file from anywhere with internet connection, you will want QuickBooks Online (QBO). If you prefer to have your file on one laptop or computer in your office, you may want the desktop product.
- If you use an Apple computer, you will want QBO since Intuit has discontinued the Mac product. If you are on a PC, you may want to use a desktop product.
- If you need more than five users in the file at one time, you may want QuickBooks Online. If you need less than five users in the file at one time, you may prefer the desktop product.
- If you want your accountant to have the ability to access your file to make changes or consult at any time throughout the year, you may prefer QBO. If you only need to get your accountant a file quarterly or annually, you may prefer the desktop product.
2. Appearance
The interface and processes of the two products are significantly different. They can both perform the same tasks, but the process of performing those tasks requires different procedures. Learning new processes can be a little difficult, so we suggest you stick with the product with which you are more comfortable.
3. Payment for Product
Last, there is a difference in the way you pay for your QuickBooks product. To purchase the QuickBooks desktop product is a one-time fee. We do suggest that every three years you upgrade your product because Intuit regularly sunsets old products. QBO is a monthly subscription that is continually updated and supported by Intuit.

Intuit on Monday launched QuickBooks Mobile for Android smartphones. This new mobile software allows small and midsize businesses to more effectively control and manage their invoicing processes.
With QuickBooks installed on their Android smartphone, business owners can perform a wide range of actions right from their device without the need to find a PC. QuickBooks Mobile for Android can be used to create estimates, manage invoices, and view customer details. Further, the application syncs in the background with QuickBooks, which gives mobile professionals the most up-to-date information no matter where they happen to be.
Intuit says that QuickBooks Mobile was designed with SMBs in mind, as they often need as much flexibility as possible when it comes to performing work functions out of the office. With QuickBooks Mobile for Android, SMBs can stay connected to their business with quick access to customer and sales information, save time by checking customer balances and creating estimates on-the-go, and be more productive by invoicing at the job site without having to go back to the office.
“The majority of small and medium-sized business owners feel that staying connected through wireless devices is critical to the success of their business,” said Dan Wernikoff, vice president and general manager, in a statement. “As the demand for mobile access continues to accelerate, we’re working to give customers the solutions they need most so they can save time and make money wherever their business takes them.”
QuickBooks Mobile for Android is available for free to current QuickBooks Online subscribers. It also is available via subscription to QuickBooks Pro and Premier 2011 customers. QuickBooks Mobile is already available to Apple’s iPhone.
QuickBooks isn’t the first piece of software that Intuit has offered to the Android platform. In June, Intuit Financial Services introduced a mobile banking application that makes it easier for Android smartphone users to manage finances from their mobile devices. The application, which is targeted at consumers, lets users view account balances and transaction history, transfer funds, pay bills, and locate nearby ATMs and bank branches.
Intuit’s GoPayment, available to both the iPhone and Android platforms, allows SMBs to accept credit card payments anywhere, anytime. With it, Intuit offers a free card reader. Intuit charges a small fee per swipe, but there are no set-up or monthly fees, and no contracts.
One last SMB tool available for smartphones from Intuit is Online PayRoll. This application allows employers to pay employees with direct deposit or check, preview paychecks before approving, and view employee information and last payroll run report from their iPhone. Intuit hasn’t said if Online PayRoll will be made available to the Android platform.
With Monday’s release of QuickBooks Mobile, Intuit now has a whole suite of applications available to the SMB on Google’s Android platform.

Intuit will be discontinuing support for all versions of QB 2008 on May 31, 2011. If you use payroll, payment solutions (credit card processing), online banking, or the email functionality from within the program, you will need to purchase QB 2011 in order to continue using these processes.
